Getting Your Campers to and from Camp

girl-hugs-horse

Campers and staff arrive at Camp Barney Medintz from all over the United States and the world. Campers have three options for arrival to camp and departure from camp. All families will get email reminders several days before their travel date with details on how we are expecting your camper(s) to travel and the time and place for your drop off or pick up. Be sure to read that email carefully and let us know if your plans have changed.

FLYING TO AND FROM CAMP

FLYING INTO/OUT OF HARTSFIELD-JACKSON ATLANTA INTERNATIONAL AIRPORT:

Campers who are flying will be required to meet us outside of security at baggage claim. For flights with 8 or more campers, we will seek (and reimburse flight expenses for) a chaperone to supervise and escort the campers.

If your camper is on a chaperoned flight, we will have the chaperones escort the campers from the gates to the buses for incoming flights and escort the campers from the buses to the gates for outgoing flights.

If your camper is on a flight that is not chaperoned, we will meet the camper in the airport outside of security at baggage claim on arrival day and guide them to our buses. On departing days, you will pick up your camper at our buses. It is up to you, the parent, to determine how to get your camper through the airport on those days, by either escorting your camper or instructing your camper on maneuvering through the airport if old enough to fly alone and you are comfortable with that.

We have identified a list of flights for cities with a large number of campers already registered for this year. Be sure to check First Session Flights or Second Session Flights for your city. If you are flying from one of these cities, we request that you purchase your ticket(s) on the flight listed for your city.  That gives us a better chance of having enough campers on the flights to provide a chaperone.

If your city is not on the list, please make sure your flights will work with our bus times listed below. If you are not familiar with the Atlanta airport, it is rather large. We recommend you allow 2 hours for maneuvering through luggage and the airport.

ON OPENING DAY BUSES WILL DEPART THE AIRPORT AT 1PM. CAMPERS CAN BOARD THE BUSES STARTING AT 12PM .

ON CLOSING DAY BUSES WILL BE SCHEDULED TO ARRIVE AT THE AIRPORT AT 9:30AM. PLAN TO PICK UP YOUR CAMPER BETWEEN 9:30AM AND 10:30AM.

If you are not sure about a flight arriving or departing at a time that will work, feel free to email Fran Harrell before booking the flight.

Please instruct your child to give his or her ticket and all receipts to our staff when met at the bus on the first day of Camp. They will be stored in our Camp safe and returned to campers as they check in on the last day of Camp.

BUS SERVICE IN SELECTED CITIES

Getting Your Stuff to Camp Barney

Campers must pack belongings into duffel bags or other types of soft-sided luggage. For helpful reminders on what to pack, see our What to Bring List.

Campers riding on our buses can bring their luggage with them at no extra charge.

For our flying campers, we highly recommend shipping your luggage. Shipping your luggage will make opening day a less stressful experience for you and your camper. It also helps our staff get your campers bags to their cabin as quickly as possible on opening day. Shipping your luggage home allows flying home to be a little less stressful as you don’t have to worry about getting your luggage checked in. It also helps our staff with bus loading for the airport. We strongly encourage you to use bags that measure no more than 40 x 20 x 20 inches when fully packed to avoid paying some really high extra fees. Staying within the 40 x 20 x 20 size should ensure that you don’t exceed the various size limits that result in extra fees that can get up to $125 per bag per trip. It is important that you measure the bags after they are fully packed and ensure that they are not oversized. This applies to shipping and to checking baggage on a flight.

On opening days, we will have staff available to help get your luggage from baggage claim to our buses between 12pm and 1pm. On closing days, we will have staff available to help remove luggage from the buses between 9:30am and 10:30am. We will also have carts available so you can get the luggage from the buses to check-in. Please be aware of the airlines’ ever-changing luggage size and weight policies! You are welcome to ship your luggage to Camp in order to avoid the airport hassle and extra fees.

LUGGAGE SHIPPING OPTIONS:

  1. We are offering a shipping company option for you to use. Please note that this is a 3rd party and while we do suggest you use them, they are not on our staff and we are not an affiliate of their business. We are again offering IFL who has serviced our families since 2011. They provide door to door service in South Florida and also set up shipping for families anywhere in the country. You can access their website here or via a form on your dashboard.
  2. You can ship directly with FedEx or UPS.

➢ Luggage being shipped to camp should be set up to arrive on the Wednesday before your camper’s opening day.
➢ Luggage pickup at the end of your session should be scheduled on your last day of camp at 3pm or later.

All families will be provided with color-coded luggage tags to assist our staff with getting the right bags to the right campers!
